Responsible AI Policy

Inzata · QEngine LLC, dba INZATAEffective: May 15, 2026Version 1.0

    1. Purpose

This Responsible AI Policy describes the principles, governance practices, and operational safeguards that guide the design, development, deployment, and use of artificial intelligence ("AI") capabilities within the Inzata platform and related services ("Services").

Inzata is committed to developing and operating AI systems in a manner that is responsible, transparent, secure, commercially reasonable, and aligned with applicable laws and ethical standards.

This Policy applies to Inzata personnel, contractors, customers using AI-enabled Services, and third-party integrations incorporated into the platform.

    2. Core Principles

    2.1 Human Oversight

AI-generated outputs are intended to support - not replace - human judgment and decision-making. Customers are responsible for reviewing and validating AI-generated outputs prior to any operational reliance.

    2.2 Transparency

Inzata strives to provide reasonable transparency regarding the use of AI functionality within the Services, the limitations of AI-generated outputs, and material AI-related risks known to Inzata. Customers should be aware that AI outputs may be probabilistic, incomplete, inaccurate, or inconsistent.

    2.3 Security and Privacy

AI systems and workflows are operated using commercially reasonable safeguards designed to protect customer data, confidentiality, integrity, and system availability. Customer data is processed in accordance with applicable agreements and privacy obligations.

    2.4 Responsible Use

AI capabilities must not be used in ways that violate applicable laws, infringe intellectual property rights, facilitate fraud or deception, generate harmful or unlawful content, or create unreasonable risks to individuals or organizations.

    2.5 Risk Awareness

AI systems may produce inaccurate outputs, hallucinations, unintended bias, incomplete analysis, or unpredictable results. Customers are responsible for independently validating AI outputs prior to any business, legal, financial, medical, regulatory, or operational reliance.

    3. Customer Responsibilities

    • Reviewing AI-generated outputs and validating their accuracy and appropriateness.
    • Implementing human review procedures where appropriate for their operational context.
    • Ensuring all use of AI-generated content is lawful and compliant with applicable regulations.
    • Maintaining compliance with all laws and regulations governing their use of the Services.

Customers should not rely exclusively on AI-generated outputs for legal advice, financial advice, medical decisions, regulatory determinations, or other high-risk activities without appropriate human oversight and professional consultation.

    4. Prohibited AI Uses

Customers may not use Inzata AI capabilities to:

    • Violate applicable laws or regulations.
    • Generate unlawful, harmful, fraudulent, or deceptive content.
    • Impersonate individuals or organizations.
    • Create malware, malicious code, or cyberweapons.
    • Engage in harassment, abuse, or targeted harm.
    • Infringe intellectual property rights.
    • Conduct unauthorized surveillance or tracking of individuals.
    • Attempt to extract, reverse engineer, or replicate underlying AI models.
    • Bypass platform safeguards, access controls, or usage restrictions.

Inzata reserves the right to suspend or terminate access for any prohibited use.

    5. Data Handling and Model Training

Unless expressly authorized by Customer in writing:

    • Customer data is not used to train generalized public AI models.
    • Customer-specific prompts, inputs, and outputs are processed solely for the purpose of providing the Services.
    • Customer retains ownership of all Customer-provided data.

Inzata may use aggregated or de-identified operational data for service improvement, security monitoring, analytics, and system optimization, provided such use does not identify individual customers or users.

    6. Third-Party AI Providers

The Services may incorporate third-party AI technologies or model providers. Where third-party AI services are used, Inzata evaluates providers based on operational, technical, and security considerations. Third-party services remain subject to their own terms, operational limitations, and risks.

Inzata does not guarantee the uninterrupted availability, accuracy, or suitability of third-party AI services incorporated into the platform.

    7. AI Output Limitations

    • May contain factual inaccuracies or errors.
    • May omit relevant information or context.
    • May reflect incomplete or outdated underlying data.
    • May produce inconsistent results across similar prompts or sessions.
    • Should not be treated as guaranteed factual statements or professional advice.

AI outputs are provided "as is" and require human review before operational, legal, financial, or regulatory reliance.

    8. Security and Abuse Monitoring

Inzata may implement monitoring, rate limiting, logging, and abuse-detection mechanisms to protect platform integrity, detect misuse, manage operational risk, and prevent unauthorized or harmful activity. Inzata reserves the right to investigate suspected misuse of AI-enabled Services.

    9. Fairness and Bias Considerations

AI systems may exhibit unintended bias or produce differential outcomes across different populations or use cases. While Inzata applies commercially reasonable approaches to reduce inappropriate bias where practical, Inzata does not guarantee:

    • The absence of bias in AI outputs.
    • Fairness across all use cases or demographic groups.
    • Suitability for regulated decision-making environments.

Customers are responsible for evaluating AI outputs within their specific operational, regulatory, and ethical contexts before acting on them.

    10. High-Risk Use Cases

    • Employment decisions or workforce management.
    • Credit determinations or financial risk assessments.
    • Insurance underwriting or claims decisions.
    • Healthcare, diagnostics, or clinical decision support.
    • Legal analysis or regulatory compliance determinations.
    • Other high-impact decisions materially affecting individuals.

AI-generated outputs should not be the sole basis for any high-risk decision. Independent professional review is strongly recommended in all regulated contexts.

    11. Regulatory Compliance

Customers are solely responsible for ensuring their use of the Services complies with applicable AI regulations, privacy laws, export controls, industry-specific requirements, and all other applicable legal obligations. Inzata may modify AI functionality or impose usage restrictions to address evolving legal or regulatory requirements.

    12. Policy Enforcement

    • Suspension of Services or specific AI features.
    • Termination of Customer accounts.
    • Investigation of suspected misuse.
    • Other remedial actions deemed appropriate by Inzata.

    13. Policy Updates

Inzata may update this Responsible AI Policy periodically to reflect evolving AI technologies, legal and regulatory developments, operational experience, security considerations, and industry best practices. Continued use of the Services constitutes acceptance of updated versions of this Policy.
