This Refund & Cancellation Policy ("Policy") governs subscription cancellations, renewals, refunds, and billing adjustments for the Inzata platform and related services ("Services"). By purchasing or using the Services, Customer agrees to this Policy.
1. Subscription Services
Inzata provides cloud-based software and AI-powered services on a subscription and/or usage-based billing model. Subscription types may include:
- Monthly plans.
- Annual plans.
- Usage-based billing.
- API consumption charges.
- Add-on services.
- Professional services and custom development.
- Enterprise licensing arrangements.
2. Automatic Renewal
Unless otherwise stated in a written agreement signed by both parties:
- All subscriptions automatically renew at the end of the applicable billing term for either a one-year term or the same duration as the original terms as set forth in the subscription agreement.
- Customer authorizes recurring billing using the payment method on file.
- Renewal charges occur automatically unless the subscription is canceled before the renewal date at the terms specified in Section 3, How to Cancel.
Renewal pricing may change upon advance notice where required by applicable law.
3. How to Cancel
Customers may cancel their subscription by:
- Using the self-service cancellation portal.
- Contacting Inzata support at [email protected].
- Using other cancellation methods designated by Inzata.

Cancellation requests must be submitted before the next renewal date to avoid additional charges. Cancellation requests for annual or longer-term subscriptions must be submitted at least 90 days prior to the renewal date to avoid automatic renewal.
4. Effective Date of Cancellation
Unless otherwise stated in writing:
- Cancellations become effective at the end of the current billing period.
- Customers retain access to paid Services through the remainder of the active subscription term.
- No partial-month or partial-term refunds are provided.
Example: If a monthly subscription renews on the 1st of the month and is canceled on the 15th, access continues through the end of that billing month. No refund is issued for the remaining days.
5. Refund Policy
5.1 General Policy
Except as required by applicable law or expressly agreed in a written agreement:
- Subscription fees are non-refundable once charged.
- Recurring charges already processed are non-refundable.
- Unused portions of a subscription period are non-refundable.
- Partially used billing periods are not prorated.
5.2 Annual Subscriptions
Annual subscriptions are non-refundable after Service activation, account provisioning, or commencement of platform access, whichever occurs first.
5.3 Usage-Based Charges
Usage-based charges are final once incurred. These include but are not limited to:
- API usage and call volume.
- AI processing and token consumption.
- Compute and storage usage.
- Data processing activity.
Customers are responsible for monitoring their usage levels and configuring appropriate limits where available.
5.4 Professional Services
Fees for professional services, onboarding, implementation, consulting, training, and custom development are non-refundable once work has commenced.
6. Free Trials
Where free trial periods are offered:
- A free-forever plan (if available) is subject to resource and feature limitations. No charges apply while using the free plan.
- Paid plan trials automatically convert to a paid subscription at the end of the trial period unless canceled before the trial expiration date.
- Billing begins immediately upon trial conversion.
- Customers are responsible for canceling before the trial expiration date if they do not wish to continue with a paid plan.
Trial expiration dates are displayed during signup and communicated by email.
7. Failed Payments
If payment cannot be processed:
- Services may be suspended or access restricted.
- Access may be terminated after reasonable notice.
- Customer remains responsible for all outstanding balances.
Inzata may retry failed payment methods in accordance with applicable law and payment processor rules.
8. Billing Disputes
Customers agree to contact Inzata directly before initiating any chargeback, payment reversal, or formal billing dispute with their financial institution. Inzata will make commercially reasonable efforts to investigate and resolve legitimate billing concerns promptly.
Account activity logs, login records, usage records, invoices, and system-generated records may be used as evidence regarding Service delivery and authorized usage.

9. Fraudulent or Abusive Activity
Inzata reserves the right to deny refunds, suspend accounts, or terminate Services in cases involving:
- Fraud or misrepresentation.
- Abuse of free trials or promotional offers.
- Excessive or bad-faith chargebacks.
- Unauthorized activity or security violations.
- Violations of the Inzata Terms of Service or Acceptable Use Policy.
10. Account Termination by Inzata
Where Inzata suspends or terminates a Customer's account for cause, the terms governing such termination - including any non-refundability of prepaid fees - are set out in the Inzata Terms of Service.

11. Exceptions
Refund exceptions may be granted at Inzata's sole discretion in cases involving:
- Duplicate billing or double-charges.
- Verified billing errors caused by Inzata.
- Technical provisioning failures that prevented access.
- Requirements of applicable law.
- Extraordinary circumstances at Inzata's reasonable determination.
Any approved refunds may be issued as full or partial credits to the original payment method, or as account credits, at Inzata's discretion.
12. Policy Changes
Inzata may update this Policy from time to time. Continued use of the Services after policy updates constitutes acceptance of the revised Policy. Material changes will be communicated via the Inzata website or direct customer notification.
